
ShareSponsorship and Fundraising Program Policy
As part of the Kanata Girls Hockey Association, the Ottawa Senators Women’s Hockey Club’s policies will be in accordance with the policies of the KGHA.
The objective of the Club is to foster the development of our players. The goal for the fundraising program is to promote team, club and association unity, and to promote a philanthropic vision, which comes above personal gain. Money should never be a hindrance to any girl who has the skill and talent to play hockey at this level and therefore the fundraising program has two purposes:
1) To make hockey affordable.
2) To provide financial assistance, if required.
Member Responsibility: By agreeing on the budget presented by the Club and coaches, each family has accepted the obligation to pay Association, Club and Team Fees. Paying the combined fees fully out of pocket could be a challenge for some. Therefore, fundraising/sponsorship is critical to the success of each team.
The Club has developed a fundraising program to help teams garner the financial support they require to be successful while providing structure and guidelines that are in accordance with the Association and our relationship with the Ottawa Senators. Teams are not limited to this program but any additional fundraising projects are subject to approval by the Board of the Club and must be reported to the Association.
The Board of Directors for the Ottawa Senators Women’s Hockey Club governs all fundraising activities and must report those activities to the Association’s Board. The Association’s Board is not required to approve those activities. However, the Association’s Board may reject, or require additional information, if any activity is perceived to be in conflict with the spirit of the Association. This fundraising program is administered by the Fundraising Committee, which is made up of a minimum of two representatives from each team and the Club Treasurer. The Fundraising Committee will elect a Chairperson who will oversee the fundraising operations and who will report to the Board of Directors.
An effective fundraising group is a critical part of a team’s success throughout the season. In addition to the prescribed fundraising program, teams may select to raise funds through other means. Some common ways to raise funds could include: Bottle drives; Car washes; Garage sales; Bake sales; Walk-a-thon (or other variation); Product sales (i.e., chocolates); 50/50 Draw; Ticket sales.
All activities, once decided upon by individual teams, are subject to the Club’s Board approval.
1. All Ottawa Senators members shall NOT accept sponsorships, IF the sponsors insist on conditions which are contrary to Club or Association policies and/or detrimental to the Ottawa Senators Women’s Hockey Club or the Ottawa Senators (NHL team).
2. Teams must forward Sponsorships to the Club Treasurer via the team fundraising representative. All sponsorships received must have a Sponsorship Form completed to ensure appropriate processing and credit to each team. The Treasurer shall keep track of, and deposit cheques, and confirmation forms to be reconciled on a monthly basis and a report given to each team and the Chairperson. All sponsorships are subject to Board Approval.
3. All Fundraising/Sponsorship cheques must be made payable to: Ottawa Senators Women’s Hockey Club.
4. Provision is made for three types of sponsorships: Club, Team and Individual
• Club Sponsor: A Club Sponsor may be a corporation, organization or individual that provides funding for the ‘Club’. Monies raised through Club sponsorship shall be used to offset costs. (i.e.: website, banquet, development, etc.)
At the end of the season the Club will distribute any surplus funds equally to each team, less any operating funds. The Club shall also maintain a reasonable operating fund balance in its bank account.
Platinum Sponsorship $10,000
Gold Sponsorship $5,000
Silver Sponsorship $2,500
Bronze Sponsorship $1,000
• Team Sponsor: A Team Sponsor may be a corporation, organization or individual that provides funding for the ‘Team’. Monies raised through team sponsorship shall effectively be distributed equally amongst team player accounts.
First Star $2,000
Second Star $1,000
Third Star $750
Power Play $ _____________ (any amount)
• Individual Sponsor: An Individual Sponsor may be a corporation, organization or individual that provides funding for an “Individual”. Monies raised through an Individual sponsorship shall effectively be distributed 50% to the Individual’s player account, and 50% to the team to be split equally amongst the remaining team player accounts. Individual players may have up to $1,000 applied against their player account in this manner.

5. Fundraising shall not exceed the annual team budget. Surplus funds will be transferred to the Ottawa Senators Women’s Hockey Club. If the Club’s operating fund balance is exceeded at the end of the season, the surplus will be transferred to the Kanata Girls Hockey Association and placed in an association Development Fund. This fund will be used to offset development activities across the Association.
6. It is the team fundraising representative’s responsibility to deliver the sponsorship benefits that were promised to the sponsors (i.e., sponsor plaques, sponsor banners, etc) in collaboration with the Club. It is strongly recommended that the fundraising representative keep a copy of the Sponsorship Form to ensure that all deliverables have been fulfilled. Each team will provide the Chairperson a copy of the confirmation form to confirm that all tasks have been fulfilled.
7. The Ottawa Senators Women’s Hockey Club will post Club sponsors on our website in accordance to our sponsorship structure, in alphabetical order as an over-all thank you. Sponsors may also be advertised on other items such as banners. They shall not be displayed on visible playing equipment such as jerseys, socks, skates, helmets, pants, sticks, etc.
9. The Ottawa Senators Women’s Hockey Club requires that all teams submit fundraising proposals to the Chairperson for review for approval prior to any event taking place. It should be noted that there may be a need to complete and process an OWHA sanctioning permit form prior to undertaking a fundraising activity.
10. No team shall be in direct competition with one another at any fundraising event within the Club or Association. Team and individual fundraising at Club or Association tournaments are not permitted.
11. Any fundraising activities outside the scope of this policy must first be presented directly to the Chairperson who will then seek Board approval.
